Every pickup shipment moves on a document set. Get one item wrong and the container sits at the port at your cost. Here is what we issue and what you should expect your own customs broker to request.
Documents we issue with every shipment
| Document | What it does |
|---|---|
| Commercial invoice | Declared value, terms (FOB/CIF), buyer and seller |
| Packing list | Units per container, dimensions, weights |
| Bill of lading | Title document; original or telex release as you prefer |
| Certificate of origin | Usually required for preferential duty or for quota purposes |
| VIN list | One line per unit — your broker needs this for registration |
| Loading photographs | Evidence of condition at loading; useful if a claim ever arises |
Documents your authority may ask for
This varies by country and is the part buyers most often underestimate:
- Pre-shipment inspection (PSI) — some destinations require inspection in the country of export. Tell us early; it changes the shipping schedule.
- Emission or type approval evidence — we supply the emission standard the units are built to. Confirm what your authority accepts before the order is built.
- Conformity certificates — for some markets a third-party conformity certificate is needed at destination. Ask your broker which body is recognised.
The three things that cause delays
- Name mismatch. The buyer name on the invoice must match the importer of record exactly. Abbreviations cause holds.
- Emission spec vs. what is allowed. Confirm the required standard first — see our guide to emission standards for export markets.
- Late document changes. Once the B/L is issued, amending it costs money and time. Check the draft before we release it.
Why we hold the FOTON export authorisation
We supply through FOTON’s authorised export channel, which is what makes the certificate of origin and the VIN documentation straightforward. FOTON has held the EU WVTA certificate since 2019 and operates engine, transmission and commercial-vehicle joint ventures with Cummins, ZF and Daimler-Benz respectively.
